Product Documents in Odoo 18 Enterprise
Introduction

One notable enhancement in the Sales module is the ability to automatically share product-specific documents with customers during the quotation or order confirmation stages. This functionality not only simplifies document management but also ensures your customers receive all relevant information at the right time, boosting clarity and trust.
Purpose
The main goal of this feature is to help businesses
Share product brochures, datasheets, manuals, or compliance documents.
Attach documents directly to products.
Automatically include them in communications during the sales process.
Allow customers to access these documents via the customer portal/website interface.
This ensures efficient communication, enhanced customer experience, and reduced manual work.
1. Link Documents to Products
Navigate to Sales → Products.
Choose a product and go to its Documents smart button (top right).
Upload or link relevant documents (e.g., user manuals, warranties).
These documents are now associated with the product.
2. Document Visibility Options:
These options control where and when attached documents (like PDFs, manuals, spec sheets)
1. Hidden: The document is not visible to customers at all.
Use Case: Internal-only documents such as engineering files, supplier agreements, or internal manuals.
2. On Quote: The document is shown as attached to the sales quotation sent to the customer.
Use Case: Product data sheets or brochures meant to help the customer make a purchase decision.
3. On Confirmed Order: The document is only shared once the sale order is confirmed.
Use Case: Warranty information, compliance documents, or installation manuals meant for actual buyers.
4. Inside Quote PDF: The document is embedded within the PDF (Only PDF documents can be attached inside a quote.)
Once the sales order is saved, click the “Action” menu next to the “New” button and select the “PDF Quote” option.
3. Create and Confirm a Sales Order
Go to Sales → Orders → Create.
Select the customer and add products.
Click Save, then confirm the sales order.
4. Use the Preview Button
After confirming the order, click the Preview smart button.
This will redirect you to the website page where the sales order can be reviewed as the customer would see it.
